Chapter 6: Email and internet use


Introduction

Email and internet are business tools to assist team members in their work. 

These tools are to be used responsibly and should not bring our organisation into disrepute.  Access to these tools is not intended for personal use although limited personal use during specified break times is permitted.

Note that management has access to and may monitor internet traffic, web access and email messages.

Examples of improper use

Improper use of email and internet that may constitute serious misconduct includes:

  • Commercial business use
  • Illegal or malicious purpose
  • Objectionable or abusive language
  • Creating, sending, viewing or downloading information which is objectionable
  • Using another person's login access to send mail as though you were that person
  • Activities which cause congestion or disruption to our network and systems, such as playing games, sending bulk email, and logging into internet broadcast services
  • Downloading game software
  • Copying licensed or protected software
  • Downloading excessive amounts of material which incur undue cost

Team members must:

  • Keep their passwords confidential
  • Ensure external emails include specific subject headings and standard signatures
  • Ensure email correspondence is professional, polite and reflects our company standards
  • Advise their manager if they receive abusive email, unsolicited pornographic or other offensive material
